I hereby give notice that the Annual General Meeting of Urban
Cohousing Otepoti Limited will be held at 7.30 pm on the 24th of
June 2021, in the common house at Toiora, 25 Alva Street, Dunedin.
Business for the meeting will include adoption of the Annual
reports for 2019 and 2020 as attached, and adopting resolutions
regarding the preparation of accounts and audit as also attached.
Please take the time to familiarize yourself with the accounts of
UCOL to the extent you need to and feel free to ask any questions
of myself or other directors before or during the meeting.
I expect this will be a small part of the wider group meeting,
and we will be able to wrap it up quickly if everyone is satisfied
with the accounts.

Attached are the final Annual Reports for the 2019 & 2020
year.
These should have been signed off quite some time ago but got
caught up in the work I had got behind in last year due to
illness. The income tax returns have been filed and there will
be no penalties, and as you will see there are refunds due which
should come through in the next week.
The Directors will need to complete the resolutions attached
for each year as well as sign off the Annual Reports. You will
then need to arrange for the Shareholders to sign off the
resolutions attached. I think it just requires 75% to be
passed. I've attached word documents so you can amend dates as
required. The appropriate time for the shareholders to do this
is at a formal AGM. You will need to arrange this. Now that
everyone is on site, almost, it will be a lot easier. This is
one reason why I delayed sending them out earlier.
When you have the Annual Report and resolutions signed off
can you please email me a copy.
The 2021 Year is nearly finished but there are still a few
items to finalise yet. I expect to have this done by the end of
the month.
