Hi all, A quick update on final inspection #1 - for the interior of our units (High St and Alva St units) done on Monday 1 February. Stefan spoke with the inspector and the only two things that are outstanding are: - Splashbacks for units that have GAS hob - Shower screens for baths and some showers. So as anticipated, we need to address the above ASAP. Juan and Rainer are organising this. Cohousing Agreement v4.2

Thanks to Jan's brilliant work, there wasn't much to do to finish editing v4.1 to become v4.2 The latest changes: * Insert the Child Protection Policy as an Appendix - with provision for signing that. * Edited the 'Tamariki' workgroup. * Edited the Commonhouse and Social Workgroup. * Moved the section about 'The Group' to the front of the document, as it is the core 'meeting of our minds'. * I have also responded to Rainer's message at Saturday's meeting and softened some of the headings and text. * Removed a reference to the Covenant. * Clarified the difference between the Long Term Maintenance Fund and the Capital Development Fund. All the changes (recent and earlier) are now highlighted in yellow - these are the areas to be discussed, perhaps edited, and agreed. Please take time to read the Agreement through, especially the highlighted text. Thanks to Anthony and Anna, Rainer, and members of the Admin team who sent good comments. Toiora's Grounds

As was suggested earlier today I’m making a list of the three main gardening-interest groups. We require volunteers to be part of each group, and someone to volunteer to coordinate each group. I will be sending the list to those who have previously expressed an interest in any aspect of the design and care of the grounds. If you name is not below, please let me know if you would like to be included. Names: Maria, Anna, Donald, Miriam, Ngaire, Jeffrey, Sara, Gay, Sandy. Admin group meeting notes

We had an admin group meeting today at lunchtime. Here are some notes from my memory: Present: Alex, Catherine, Min, Gay, Anne, Sandy, Warren, Maria. The main topic for discussion was the documents we needed to address for settlement. * Membership Agreement: *Warren* was happy to lead the process and send another revision after today's workshop. * Mortgages: As far as we're aware, we have done what Kiwibank were asking. They have not contacted the people who were getting mortgages from them yet, we are waiting for them to progress it. *Maria* will follow up next week if we don't hear. We noted this is primarily the responsibility of those people seeking mortgages. If you are uncertain about your own mortgage at all or need anything else from UCOL, please contact Maria or one of the directors. * Health and Safety: After Stevenson and Williams leave site we will be responsible for health and safety policy on site, initially UCOL then the Body Corporate. *Sandy* will find the incident book we used previously (or get a new one), and do/arrange a survey of hazards. We will need to consider whether we have the policies we need in place. * Access before settlement: we discussed different ideas for access before settlement, e.g. access just for finishing jobs closely regulated by UCOL, or leasing our houses before settlement. Gay pointed out that the residential settlement act does NOT apply to purchasers with an unconditional contract to buy a property, so any rental would be a custom contract not a standard residential tendency (I love how we have so much knowledge in the group.) *Gay* will lead the drafting of some options that we can investigate further and bring back to the group with pros and cons. * Insurance: Our attempts to come up with cheaper insurance have drawn a black so far. *Anne* will seek additional quotes from direct insurance companies. We will need to pay for new insurance once S&W leave site and/or practical completion. The question arose how we could rely on our construction insurance that we have paid for already for a longer period, e.g. until settlement. Anne will ask Tina this question, and also about monthly vs. annual insurance payment. *Alex* was going to do something but he can't remember what. Perhaps talk to our accountant about accounting for the insurance cost between the company and the body corporate. * Body corporate administration: *Anne* thought the office volunteers would naturally handle the BC administration tasks such as maintaining an owners register and communicating those details to insurance companies. * Body corporate bank account: We thought this was not immediately urgent to set up. We did not set a time for a next meeting, but I suggest next Sunday evening around 5pm if we need one. We can re-assess that at Thursday's meeting. Thanks all, Alex

Hi Warren Fantastic work on the agreement doc. A thoughts from us for the workshop.... * Ideally explain the term 'the Group' earlier in the document. Maybe could be an abbreviation after the title Membership of Toiora Cohousing Group (the Group). The explanation in the working group section could be brought up under this section. * 'Resident members are to koha time to one or more of the following....' Attending group meetings seems to be a separate responsibility to the other three rather than a koha of time. Consider.....Resident members are to attend group meetings and koha time to ...(points about work groups, working bees and meals) * Caring rules: Not making 'any noise' and 'any odours' may be a tall order! Consider leaving out 'any' in these rules. * Pets. Consider leaving out 'intended and actual', which may lead to complications (lots of people could say they intended to have a pet) * Working bees and regular tasks. Reminder 10.30 for induction. Any extra people who can arrive by 10.15am would be very much appreciated. These people always arrive early so they can talk to a real cohouser. 12.30 for shared lunch. Finger food appreciated (so we don't need to use plates). I'm bringing green milk. I presume Liz will bring along her wonderful selection of tea bags, and I have high hopes that someone will provide coffee. With ten interested people expected we're hoping we get a good turnout for lunch. 1.30pm for workshop.
