Private Variations Invoices - Process

HI all, I had a few people asking about private variations so decided to send this email to everybody. Please note: we have not received any invoice for private variations yet. If there is a private variation request, we will ask the builders to provide a cost and we will receive a variation proposal with a $. The variation will then need to be approved (either by me or by the PCG) before doing the work. I have kept those that requested private variations informed. I have been asking to confirm by email that they are happy for me to approve the variation on their behalf. So by doing this we are keeping a record of what was approved and we know what to expect on the invoices that is coming our way. The idea is that the builders will do the work and they will invoice us at a later stage, (sometimes a few months later). I will inform individual as soon as we receive invoices related to private variations. You'll then need to be ready to pay within a week. We are organizing this (builders/accountant) to keep things separate from the main contract. Hope this is clear but let me know if you have any questions. Keep safe everybody... stay home... Unit Plans

Hi All, As we prepare move into our new homes at the end of the year (hopefully) we thought it would be a good time to issue everyone with a current set of drawings for each home. These drawing sets include floor plans, elevations, electrical plans, kitchen plans, bathroom plans and joinery plans and should be all you need to order tiles measure for furniture etc. In the link below you will see folders for each of the different unit types. Meeting Scheduled for 26 March

At this stage our meeting on Thursday will go ahead. It will be at the usual time of 7.30 (hopefully we’ll still get to hear about Rosemarie’s and Maurice’s plans at some later date). The agenda is attached. I am sending it early as this email has important information about Zoom and also because it would expedite proceedings if as many reports as possible were circulated prior to the meeting. We realise a number cannot physically attend so Zander has offered to set up Zoom (Zoom is like Skype but better for meetings). Prior to the meeting he will be sending a link via the Ucol membership list and those who would like to participate in the meeting from their home can use the link to download the app and then join into the meeting just before 7.30. For those who would like to attend the meeting and become familiar with Zoom, Jan has set up eight computers at NumberWorks’nWords and those who wish may use them. Another reason it is being sent early is because I’m a boomer and in the demographic currently grounded, I am asking if someone will offer to chair this meeting. experience with group meetings, Zoom and coloured cards

Hi team: thanks for all the encouraging news re use of Zoom. I've used it and/ or SKYPE for a national committee meeting for several years. In addition, I found adding in Coloured cards really helped us in doing so - it was easy for the 'chair/ facilitator' to see who wanted to speak and in which order. And also the 'chat' function of Zoom means you can register your wish to speak and or flag your orange card. We're a bigger group than my group was but I'm sure it can work. If you don't have access to a set of cards, now's your chance to gather some coloured items together to wave at the screen - oranges, zucchinis, sunflowers and ? something blue from around the house - shouldn't be too difficult. We've all shown great adaptability and capacity to think laterally in the past - we can do this again ( and again) as required, I'm sure! Best wishes meantime, sun sort of out and gale yet to arrive. Meeting attendance

Hi All, Just letting you know that I won't be attending UCOL meetings until either * COVID-19 is kept 'under control' i.e. at Alert Level 1 or lower (we will know this within a week or so). Or * An effective vaccine has been developed, and I've received it (could be 3 to 15 months away). Or * COVID-19 runs its course and a level of community/national herd immunity has been established (the worst case scenario - 90% of us contract the virus). While my health is generally good I do have a respiratory injury which makes my survival of a bout of coronavirus questionable to say the least. As I intend to live longer and get more done, I'm self-isolating in an attempt to avoid the virus. So, no more meetings for me. For now. I'm not an expert on video conferencing but I would like to participate in this way if that is possible. So very happy to help out trialling systems to see if this could work for us. Apologies for Mar 26 meeting

Hi All, We were looking forward to being at this week’s meeting but figure it’s “non-essential” travel (and Jetstar has cancelled our flight for us anyway) so to our great disappointment we won’t be making it. Our apologies, yet again, for not being there in person. This may be an occasion for us to try Zoom or Skype to attend remotely, though, particularly if there’s discussion about how work on the site might be affected by any further restrictions on people’s movement. Could be, of course, that the meeting itself doesn’t go ahead. No doubt that will become clear in the next few days. Meanwhile, we hope everyone is staying well. Anthony and Anna
