Outreach group update

Hi All, Four of us — Rosemarie, Pauline, Jess and me — met last evening to talk about publicity/outreach activities, including setting up a group to handle such matters. First up was how to respond to reporters interested in covering our moving in. The ODT is keen to do a news story soon and a feature story for Friday week. We discussed who would be good interviewees and I agreed to ask if they were willing and/or available. Also on that topic we came up with a list of facts and figures that journalists might find useful. They include that: *the number of residents is more than 40 *the average age is just over 40 *the age range is under 1 to 70-plus *there are seven under-16s *the ratio of females to males is 1:0.7 *residents are of nine nationalities These are approximations and if anyone would care to correct them or contribute other useful tidbits, please do. We also talked about marketing-type publicity approaches from the likes of eHaus and Kiwibank. eHaus has asked Jess directly for an interview and Kiwibank wants to issue a press release that would include a cohousing contact person for media to approach. We felt this was a matter the directors might like to offer guidance on. Other talking points included: *induction workshops and how these can be co-ordinated with finding tenants for the units that are being let; *what use we should be making of social media; *possible dates for a formal opening and an open day for neighbours. It was felt there was no urgency for either and good reasons such as site readiness and weather suitability not to rush them and we should consider dates from August onwards. The confirmed members of the group are Gay, Kristin, Jess, Rosemarie, Claire, Anne and me, and anyone else who would like to put up their hand to join or offer suggestions is very welcome to do so. Outreach group

Greetings on a wet Sunday, At Alex’s urging, and with timely prods from Warren and Donald, I’m proposing a meeting early next week of those interested in forming an outreach group. The impetus comes from the happy fact that by the end of next week it can officially be said that Toiora High Street Cohousing’s residents have moved in. This hasn’t gone unnoticed in the outside world. The ODT is keen to write about this event in its news and features sections. And Kiwibank deservedly wants to capitalise on the part it’s played in bringing a pioneering cohousing neighbourhood into existence by sending out a press release. Exciting as it is to be in the news, we’ve asked both organisations to hold off for a bit so we can make the grounds look a little more photogenic, and work out what we might want to say and who will say it. We’ve suggested they contact us again at the end of next week. That’s the immediate item on the as-yet-unformed group’s agenda, and there’s also the question of future outreach activities, which it would be good to be thinking about and getting under way. Anyone wanting to get involved in this part of Toiora life is urged to come along to the meeting around the fire on Tuesday at 7.30pm, and with  Gay, Jan, Anne, Claire, Jess and others already having expressed their interest, the signs are good that the group will have plenty of ideas and energy. I hereby give notice that the Annual General Meeting of Urban Cohousing Otepoti Limited will be held at 7.30 pm on the 24th of June 2021, in the common house at Toiora, 25 Alva Street, Dunedin. Business for the meeting will include adoption of the Annual reports for 2019 and 2020 as attached, and adopting resolutions regarding the preparation of accounts and audit as also attached. These should have been signed off quite some time ago but got caught up in the work I had got behind in last year due to illness. The income tax returns have been filed and there will be no penalties, and as you will see there are refunds due which should come through in the next week. The Directors will need to complete the resolutions attached for each year as well as sign off the Annual Reports. You will then need to arrange for the Shareholders to sign off the resolutions attached. I think it just requires 75% to be passed. I've attached word documents so you can amend dates as required. The appropriate time for the shareholders to do this is at a formal AGM. You will need to arrange this. Now that everyone is on site, almost, it will be a lot easier. This is one reason why I delayed sending them out earlier. When you have the Annual Report and resolutions signed off can you please email me a copy. The 2021 Year is nearly finished but there are still a few items to finalise yet. I expect to have this done by the end of the month. Please let me know if you have any questions. Juan and Maria, Anthony and Anna, Min, Catherine, Pauline, Sue T and Jan today. 17 out of 24 units so far. Congratulations on your new houses. I'm envious.
